Users securely login and are presented a personalized home page showing the latest updates by administrators as well as quick access to upcoming events/meetings, news/announcements, open votes and any other required documents.
Administrators can list committee/board meetings and special events which are displayed in a list or calendar view. Users can RSVP and add the meeting to their own calendar software such as iCalendar, Google and Outlook.
Users have access to all their key documents in the board portal including current and past agendas and minutes, correspondence, board resolutions, policy and procedures, annual reports, bylaws, etc. Documents can be searched by date and keyword. Resources also include links and management profiles. Administrators have full control to add sections, categories and limit documents to groups of users.
Quick access to member contact information and profiles including short bios, photos and committee memberships. Contacts can be searched by keyword and group. Members can update their own contact information while administrators set the user's permissions whether a board member, senior manager or administrator.
Administrators can keep members up-to-date with recent news or announcements prior to meetings in the news section. News can be automatically emailed to groups of board portal users in addition to appearing in the latest updates listing when signed in.
Any board action can be voted on through the board portal. Members can submit an online vote for a question prior to each vote's closing date. Administrators can receive notification when a vote is submitted as well as view the results.
Regardless of the size of your board or how many documents you add, you pay a single monthly fee. The board portal will serve as your archive for as many year's worth of data as you want.
Your users will access the board portal through a custom URL of your choosing, either as a sub-domain of your existing website, or with a new domain included at no extra charge.

After a live demo we will provide you a customized proposal. This online proposal will outline the full scope of the Vortex Portal and its monthly fee, as well as any customizations that you've requested. To proceed with the Portal you need only click the "Approve" button, or contact us. We will then immediately setup your portal and schedule your first training session.
Users access the Vortex Portal via a custom URL specific to your organization. For example, if your company was called ABC, you could access the portal via abcboard.com or board.abc.com. Users can add a bookmark to their browser or device home screens (ie. on a tablet or phone). There is no need to install any additional software or apps - you can access the portal via any web browser. Users then sign in with their specific login credentials.
Yes. The Vortex Portal includes unlimited training and support. After the initial setup we will schedule a kick-off call to walk you through the configuration and management of your board portal. Whenever you need additional help simply email or call our support team.
Typically within 1 day we can have your Vortex Portal setup and ready for you to begin loading information, such as setting up your users/directory, meeting schedule, categories and documents. Depending on how much past data you wish to load, the implementation can take a few days to weeks. We are also available to help load in your documents to speed up the process.
There are no restrictions on document types - you can upload PDFs, Word, Excel, PowerPoint etc. For the best results however, we recommend using PDF for the majority of your files as these can be readily opened on any device without third-party software. Vortex automatically creates ZIP files when batch downloading.
